Your challenge

Help bring research to life and drive your career forward with the National Research Council of Canada (NRC), Canada's premiere research and technology organization.

Reporting to the Manager Operations and Finance: answers telephone calls; redirects calls if necessary; accomplishes administrative tasks related to NRC-IRAP; including purchasing and accounts payable following the appropriate procedures; organizing meetings including, if necessary, room reservation, coordination of travel arrangements and processing travel expenses; processes invoices, inputs data, reconciles, and reports on financial data for the region; proposes more efficient work procedures or methods to colleagues on a variety of tasks; give a full range of administrative services using the latest microcomputer or word processing equipment; recommends new procedural initiatives to NRC-IRAP regional management in order to facilitate processing of financial data; perform other related duties.

Screening criteria

Applicants must demonstrate within the content of their application that they meet the following screening criteria in order to be given further consideration as candidates:


Successful completion of secondary school according to provincial standards.

Post-secondary education in Secretarial or administration training would be an asset.


Experience in providing administrative support such as: processing claims; requesting and buying supplies, materials and services; developing and maintaining inventory and budget monitoring systems; processing travel claims; arranging meetings and conferences; developing and maintaining a file system (both paper and electronic); and writing of routine correspondence.

Significant* experience with MS Office suite products such as Word, Excel, PowerPoint and Outlook.

Experience in the use of SAP software and Lotus Notes would be an asset.

*Significant means a minimum of 2 years’ experience.

Candidates will be assessed on the basis of the following criteria:

Technical competencies:

Knowledge of office administration procedures and practices such as arranging meetings; making travel arrangements; processing travel claims and preparing correspondence.

Ability to demonstrate discretion, tact and sound judgment, especially when reviewing sensitive or confidential information and determining the appropriate course of action.

Ability to manage multiple competing priorities.

Ability to plan and arrange meetings, including travel arrangements and logistics.

Ability to communicate in writing, including proper grammar, spelling and punctuation.

Ability to provide information, explain processes and respond to queries. 

Ability to demonstrate accuracy and attention to detail.

Ability to work with Microsoft Office software, in particular MS Excel and MS Word.

Basic knowledge of the Financial Administration Act.

Basic knowledge of Treasury Board Financial Guidelines and the Financial Administration Act.

Basic knowledge of accounting, financial and business principles and methods.

Salary range

  • From $38,872 to $51,540 per annum.
